Roles and Responsibilities – 2024/25

Chairperson

Will act as an ambassador and figurehead for the club.  Responsible for chairing committee meetings and the Annual General Meeting, in accordance with the club’s rules.  They will assist the club secretary in preparing meeting agendas and head the committee in making decisions and in setting the strategic direction of the club.

Stephen List

Secretary

Will arrange meetings, book venues and take minutes of club meetings.  They will be the point of contact between Gipping Valley Archers and Stowmarket Golf Centre.  Also for the provision of membership badges.  They will maintain and publish the club’s activity calendar (with input from the committee), covering training programmes, club target days, field, clout, fundays, tournaments and other events.  They will respond to enquiries to the club and coordinate internal and external communications via the website, email and other social media platforms.  The postal address of the club shall be that of the Secretary in post.  The Secretary has legal ownership of all club equipment.

Sam Punton

Treasurer

Will manage the club’s finances, including all outgoing payments to AGB, ECAA, SCAS, SGC.  They will maintain a list of club members, including emergency contacts, and club records on the Archery GB website portal.  They will report the financial position at each committee meeting, publish a set of yearly accounts and arrange the independent review of accounts (all in conjunction with the Assistant Treasurer).  The Treasurer will also draft the yearly budget estimate, based on the preceding year actuals.

Robert Clark

Assistant Treasurer

Will manage all income to the club.  All monies collected on behalf of the club will be passed to the Assistant Treasurer.  Purchases made by the club must be receipted or invoiced and recorded by the Assistant Treasurer.  They will work with the Treasurer to fulfil the duties set out for the Treasurer role.

Teresa Mitchell

Safeguarding Officer

Will receive and act upon any reported concerns, ensuring the club protection policy is implemented and promoted.  They will ensure best practice across the wider partnership network, acting as a first point of contact for the club on issues of child protection, vulnerable adults, members of the public and other external contacts

Trevor Gibbs

Data Protection Officer

Willl oversee the club’s data protection strategy.  They are the officer responsible for ensuring compliance with the GDPR’s regulations in respect of recording, editing, storage and disposal of personal data held by the club and its’ officers.  They will conduct a yearly audit to ensure compliance and provide guidance for any aspects that need changing or improving.

Will be responsible or liaising with the club committee regarding the interests of all members.

Ade Coote

Coach Coordinator

Is responsible for the provision of coaching and training at the club, including drawing up a yearling training programme.  This will include booking, coordinating, managing and running the club’s beginners’ courses, taster sessions and member development sessions.  They will work with the other coaches to ensure continuity. between coaches and coach development.  They will also arrange for the registration of all training events on the AGB portal

Chris Punton

Event’s Organiser

Will be responsible for managing requests, planning and organising ad hoc charity, private and public events.  They are responsible for managing the co-ordination of events and ensuring they are appropriate for customers’ needs and appropriately resourced by member volunteers   They will ensure all aspects of the event are planned and delivered efficiently, safely and within agreed budgets.  Additionally, they will ensure the club has an agreed contract in place for each event and arrange for the registration of all such events on the AGB portal.

Web Editor

Will manage the content of the club’s website.  The web editor will not necessarily be the author of the content and will often rely on others to supply that content.  They will ensure the content is accurate, relevant and up to date.

Tracey Osborne-Lomax

Tournament Officer

Will create and publish the club’s shooting programme for both the summer and winter seasons.  They will be responsible for arranging the input of both indoor and outdoor classifications for winter and summer respectively, as well as the 300 and 252 scheme, on the club calendar.  They will also highlight external competitions and encourage club members; participation with national, county and other local club competitions.  They will organise members only Club Championship, Handicap Tournament and Open competitions when directed by the committee.

Records and Medals Officer

The Records Officer records scores for classifications, handicap improvements and for the updating of club member records.  They will publish regularly the results of club target days and practice rounds when members complete indoor or outdoor classification rounds, or rounds of the 252 and 300 schemes.  They will maintain a float of badges so that they may be presented by the club when earned.  They will keep records of the best scores achieved at the club, determined by member, age, gender, bow style, discipline and round.

Jackie Benjamin

Training Equipment Officer

Responsible for maintaining the club’s training equipment – bows, arrows, bow stands, arrow tubes, arm guards, finger tabs, sights and bow stringers.  The condition of these items must be regularly assessed to ensure it is safe for use.  An up-to-date inventory of all club equipment will be maintained.  They will also have in place a plan to allow budgeting for items as they reach the end of their life span and are no longer usable.  Additionally, they are responsible for ensuring all equipment is safely stored in the club’s storage cupboards when not in use.

Martin Fox

Range Equipment Officer(s)

Will lead the maintenance and repair of the club’s target estate, encompassing target, field and clout.  They will coordinate working parties with support and help from club members to repair and maintain targets.  They will order new consumables and maintain a stock of target faces, ordering replacements as required.  Range officers will maintain the range waiting and shooting lines, the boss distance markers, range distance side markers and target numbers, as appropriate.
